The 10-Minute Cash Flow & Invoicing Fix

Eight small changes that get you paid faster, end the late-invoice chase, and make tax season a non-event. It's the same list I walk new clients through, and the whole thing is below, free, no email required.

Each takes minutes to set up and keeps paying you back every billing cycle.

    Switch to recurring invoices

    Set it once and bill automatically every cycle. Retainer and maintenance clients should never require you to rebuild the same invoice by hand.

    Turn on automatic late-payment reminders

    The single highest-leverage change on this list. Let the system send the nudge so the awkward follow-up is never yours to write, and so it actually happens on day 1, not week 3.

    Accept online payments

    Clients who can pay by card or bank transfer in one click pay meaningfully faster than clients who have to write and mail a check. The processing fee is almost always cheaper than the float.

    Capture receipts the day they happen

    Photograph it, attach it, categorize it, forget it. The shoebox isn't a filing system, it's a deferred tax-season expense, and it usually costs you deductions you'd earned.

    Track billable time against each project

    Even if you bill flat rates. Knowing what a job actually cost you in hours is how you find out which clients are quietly unprofitable.

    Run one cash-flow check weekly

    Five minutes, same day each week: what's outstanding, what's overdue, what's landing. Most cash crunches are visible three weeks before they hurt.

    Sort expenses by tax category all year

    Categorize as you go and tax prep becomes a review instead of a reconstruction. This is the difference between a calm February and a lost weekend.

    Set a late-fee policy, and put it on the invoice

    Clients pay on time when there's a stated consequence. It matters far more that the terms are written on the invoice up front than what the number is.

CHECK BEFORE PUBLISHING: item 08. Late fees on commercial invoices are governed by your contract and by state law, and there are limits in some jurisdictions. Confirm what's enforceable where you practice, and consider adding a line pointing readers to your late-payment article for the details.
